US payroll compliance involves far more than just cutting paychecks. Every employer must withhold federal income tax and FICA (Social Security and Medicare) from wages, match the employer's share of FICA, deposit those taxes on a strict IRS-mandated schedule, and file quarterly (Form 941) and annual returns (Form 940, W-2s, W-3).
For companies with employees in multiple states, these obligations multiply: each state has its own unemployment insurance (SUI) system, state income tax withholding requirements, and filing schedules. California, New York, and New Jersey add disability insurance contributions. Several cities — New York City, Philadelphia, Baltimore — impose local income taxes.
We handle all of this. Our payroll service covers setup, processing, deposit scheduling, quarterly and annual filings, W-2 and 1099-NEC issuance, and year-end reconciliation — in all applicable states.

We register your entity with all applicable state payroll agencies, set up your EFTPS account for federal deposits, and configure your payroll schedule.
Payroll Processing
Each pay period, we calculate gross wages, all applicable withholdings (federal, state, local), and net pay. We issue pay stubs and direct deposit instructions.
Tax Deposits
We calculate and schedule all required federal (EFTPS) and state payroll tax deposits on your behalf, on time and in the correct amounts.
Filings & Year-End
Quarterly Form 941, annual Form 940 (FUTA), W-2s to employees, W-3 to SSA, and state equivalents — all handled by us with audit-ready documentation.
Frequently asked questions
Yes. Foreign-owned US entities have the same payroll obligations as domestically-owned companies. We handle registration, deposits, and filings regardless of the ownership structure. If you have foreign national employees (H-1B, L-1, O-1 etc.), we also advise on applicable treaty exemptions and FICA obligations.
We handle payroll compliance in all 50 US states. If you have employees in multiple states, we manage registration and filing in each applicable state. We also assist with state unemployment insurance (SUI) account registration and manage the multi-state W-2 reporting.
Form 941 is the Employer's Quarterly Federal Tax Return — most employers file this four times per year. Form 944 is the annual equivalent, available only to very small employers whose total annual payroll tax liability is $1,000 or less. The IRS assigns your filing frequency; we manage whichever applies to your entity.
Yes. We track contractor payments throughout the year and file Form 1099-NEC for all contractors paid $600 or more during the calendar year. We also prepare Form 1096 (the transmittal summary) and file electronically with the IRS by the January 31 deadline.
Employers must deposit payroll taxes (withheld income tax + employee and employer FICA) according to either a monthly or semi-weekly schedule determined by the IRS based on your total tax liability. We calculate your deposit amounts, schedule the transfers, and file confirmation records.
